Manager – Office of the CEO, PhRMA

Reports to: Senior Director

Pharmaceutical Research and Manufacturers of America (PhRMA) is seeking a Manager to support the operations of the Office of the CEO. S/He will work in partnership with and report to the Senior Director and will work closely with PhRMA colleagues, member companies and external consultants.

Principal Duties And Responsibilities

The Manager will:

  • Coordinate and run the daily schedule of the CEO;
  • Assist the Senior Director in managing correspondence, including organizing and prioritizing. S/He will draft, review and/or proofread correspondence and send on behalf of the CEO, as
  • Track/report business expenses for both Senior Director and CEO and submit weekly reports, process contracts, purchase supplies, create/submit check requests and invoices for the CEI Office;
  • Assist in managing the day-to-day operations of the CEO office, including answering phone and vetting calls, submitting requisite building forms for visitors, greeting visitors, and procuring materials;
  • Prepare daily and evening folder of materials requiring CEO review;
  • Collaborate daily with Senior Director to ensure alignment on end of day results and deliverables;
  • Assist during Board and Annual Planning Meeting;
  • Manage projects as assigned by Senior Director.

Key Success Factors
PhRMA seeks a collaborative, proactive, self-starter who has a strong team focus paired with the ability to work independently.  The successful candidate for this role will be flexible and responsive, have excellent interpersonal and communication skills, exceptional attention to detail, strong organizational skills, and the ability to anticipate/prioritize needs and work effectively under pressure. The successful candidate will have excellent decision-making skills and be able to make sound judgment calls that best supports the office of the CEO. This position is highly visible and both internally and externally facing; accordingly, the role requires exceptional professionalism, maturity, discretion and diplomacy.

Qualifications

  • High School Diploma, though Bachelor’s preferred;
  • 5-7 years of experience supporting a senior executive;
  • Strong relationship building skills, professional presence and diplomacy;
  • Strong MS Office Suite skills;
  • Ability to anticipate and prioritize needs for executive being supported;
  • PhRMA requires all employees to be fully vaccinated against COVID-19 before entering a PhRMA office, unless an exemption applies. Proof of vaccination or eligibility for a religious or medical exemption on the first day of work is mandatory
