Salesforce Administrator, EveryLife Foundation for Rare Diseases

Location: Remote, Part-Time, 20 Hours per week

The Role:

The Salesforce Administrator ensures our system for Customer Relationship Management—the foundation of our stakeholder impact—is accurate, standardized, and structured to support diverse fundraising, engagement, programming, and advocacy initiatives. In this crucial role, you will be responsible for correcting historical data issues while establishing long-term governance that is essential to keeping and leveraging Salesforce as a trusted system of record.

This position reports to the Chief Operating Officer with a collaborative (dotted-line) relationship to the Associate Director of Finance.

Principal Duties And Responsibilities

Data Governance and System Integrity:

  • Cleanup and Hygiene: Lead ongoing efforts to deduplicate, normalize, and standardize Salesforce records, correcting historical inconsistencies.
  • Governance: Establish and enforce naming conventions, validation rules, and documentation to ensure consistent data entry across teams.
  • System Maintenance: Manage data imports/exports and develop Standard Operating Procedures (SOPs) for long-term data health.

Optimization and Integration:

  • Donorbox Management: Optimize the Donorbox-to-Salesforce integration, ensuring accurate mapping of donations, recurring gifts, and campaign attribution.
  • Segmentation: Build data models that classify constituents by giving behavior, engagement history, and advocacy participation to support targeted outreach.
  • Workflows: Configure objects, fields, and flows to automate processes and reduce manual data entry errors.

User Support and Reporting:

  • Support: Provide day-to-day troubleshooting and technical assistance for Salesforce users.
  • Enablement: Create simple training materials and lead onboarding for new staff to leverage the Salesforce tool.
  • Insights: Support the reporting needs of leadership and program teams to inform strategic decision-making.

Qualifications

Education and Experience:

  • Certification: Salesforce Certified Administrator required.
  • Experience: 3–4 years of Salesforce administration experience; experience in a nonprofit or advocacy environment is highly preferred.
  • Technical Proficiency: Strong understanding of Salesforce data structures, Flow Builder, and reporting. Familiarity with Donorbox and NPSP/NPC is a plus.
  • Communication: Ability to translate complex technical concepts for non-technical stakeholders.
  • Education: Bachelor’s degree preferred.
